At Tisdale Marketing Solutions LLC, we believe that clear communication and structured processes lead to better results. The following policies and procedures ensure a smooth and successful working relationship between our team and our valued clients.
1. Consultation & Onboarding
1.1 Free Consultation
- All potential clients are offered a free 60-minute consultation to assess fit and determine service needs.
- Consultations can be scheduled online via our contact form or by calling 918-527-6904.
1.2 Proposal & Contract
- After consultation, clients will receive a custom proposal outlining services, timelines, deliverables, invoice and pricing.
- Work will only begin after both parties have signed a formal agreement and the initial payment or deposit has been received.
2. Communication Policy
2.1 Office Hours
- Business Hours: Monday–Friday, 9:00 AM to 6:30 PM CST, Saturday, 10:00am to 3:00pm, Closed Sunday
- Messages received after hours will be responded to on the next business day.
2.2 Channels of Communication
- All official communication must be made via:
- Email
- Scheduled Zoom or phone calls
- Group chat (WhatsApp or text) encrypted
- Client project portal (if applicable)
2.3 Response Time
- Emails and inquiries are typically responded to within 24 business hours.
- Urgent requests should be marked clearly and will be handled as priority when possible.
3. Project Workflow & Expectations
3.1 Discovery Process
- It is of extreme necessity that all clients participate in an in-depth discovery session (1–3 hours) to provide insight into their business, brand goals, and marketing priorities.
- Notes and references collected during this session guide the direction of all deliverables.
3.2 Approvals & Revisions
- Each deliverable includes up to 4 rounds of revisions unless otherwise stated in the agreement.
- Feedback must be provided within 3 business days of delivery.
- If no response is received, the deliverable may be considered approved and moved to the next phase.
3.3 Delays & Timelines
- Delays caused by lack of client feedback, meeting cancellations, content or approvals may result in adjusted timelines or rescheduling of services.
- Tisdale Marketing Solutions LLC is not responsible for missed deadlines due to late client communication, indecisiveness or incomplete content delivery.
4. Payment & Billing
4.1 Payment Terms
- Invoices are given in person or sent electronically and are payable via credit/debit card, ACH, or other approved payment processors.
- Standard payment options:
- 100% upfront (for small projects under $1,000)
- 50/50 split (for projects over $1,000)
- Retainer billing (for ongoing monthly services). See your contract.
4.2 Late Payments
- Payments are due on the date indicated on the invoice.
- A 150.00 late fee is added after 3 days past due, then an additional $5/day with a limit of 30 days.
- Services may be paused after 14 days of non-payment.
4.3 Refund Policy and Cancellations
- Due to the creative nature of our services, all sales are final once work has commenced.
- Refunds and cancellations may only be considered for unused services within 5 business days of contract signing. This is at the discretion of the project manager.
- Please see your individual contract for client based contract modifications, if any.
- Our contracts do not possess project terminations or services clauses due to the multitude of possibilities and pricing of the project being spread out over single or multiple months at a time.
- A request for termination of services needs to be submitted to us by email or written letter @ tisdalemarketingsolutions@gmail.com to begin the 60-day cancellation and transition process.
- During this process, the client is responsible for any payments that are accrued based on date of origin of the contract, for a maximum of 60 days. To optimize your spending, please make cancellations on the last day of the month of the current billing cycle.
- Final payments from the client release all intellectual property that has been paid for and approved. It will be delivered at the convenience of the client.
5.0 Scope of Work & Boundaries
- Your contract or proposal outlines exactly what’s included in your service package. Please review all items to ensure coverage.
- Requests outside the agreed scope will be quoted separately and added to a secondary contract or agreement.
5.2 Additional Requests
- Additional meetings, revisions, or design concepts not originally agreed upon may incur additional charges at our hourly rate ($50/hr. or quoted per item).
5.3 Client Responsibility
- Clients are responsible for:
- Providing content, brand materials, and feedback on time.
- Reviewing deliverables promptly.
- Ensuring accuracy of information submitted for publication or distribution.
- Providing TMSLLC with business integrated information to build content
- Attend all meetings or reschedule as needed within 24 hours of original date.
- Pay for project, monthly or overages promptly to ensure projected work and service.
- Scheduling meetings, founders meetings and consultations with TMSLLC.
- Providing logins and passwords to social media, emails, SEO, and other business related integrations.
6. Digital Marketing Services
6.1 SEO Services
- SEO is a long-term strategy. We recommend a minimum of 6 months for meaningful results.
- Reports will be delivered every 4 months via email, along with a performance summary.
6.2 Website Design
- Clients must approve wireframes/designs before development begins.
- Final sites are only launched after written client approval and current payment.
- Post-launch support is included for 14 days or for the length of your project. Maintenance plans are available separately.
6.3 Social Media Management
- Content calendars are provided monthly for client review and approval.
- Two revisions per calendar are included.
- Engagement monitoring and analytics reporting are part of ongoing social media packages.
7. Content Ownership & Licensing
- Upon full payment, all original design and content deliverables become the client’s property.
- Tisdale Marketing Solutions LLC reserves the right to showcase completed work in its portfolio and marketing materials.
- Stock images, fonts, and plugins used in projects may be subject to third-party licensing terms.
8. Confidentiality
- We take confidentiality seriously. Any proprietary or sensitive information shared with us will be kept confidential and never sold, shared, or disclosed.
- A mutual NDA is available upon request.
9. Cancellations & Terminations
9.1 Company Terminations
- Tisdale Marketing Solutions LLC reserves the right to terminate a project if:
- The client violates the terms of agreement and/or doesn't abide by company policies.
- Payments are not received in a timely manner.
- Communication becomes abusive, absent or unprofessional.
- Unrealistic communications (after hours, harassment, etc.)
- Threats to owner, team or facility.
- A death in the company that effects the project
- Bankruptcy, closing of client business, etc.
- Client requests become unreasonable
10. Support & Maintenance
- Ongoing support is offered only to clients enrolled in a maintenance plan or retainer package.
- Maintenance clients receive:
- Monthly website/social media updates
- Bi-weekly updates on project and upcoming work
- Quality Assurance (QA) through emails and text to ensure compatibility and continuity.
11. Client Portal & File Access (If Applicable)
- All project files and communications are stored in a secure online portal.
- Clients are responsible for downloading and storing final deliverables after completion.
- Portal access may expire 30 days after the project ends unless otherwise agreed.
12. Dispute Resolution
- Disputes will first be attempted to be resolved amicably via mediation, phone call or email. Immediate cancellations of services will not be honored or considered until a mediation has been scheduled and finalized.
- If a resolution cannot be reached, disputes shall be governed by the laws of the State of Oklahoma and settled in a mutually agreed-upon jurisdiction. This is a last resort.
